Keeping it school-appropriate
Every school we work with has a version of the same three requests, and we set them up as standard:
- Curated props only - no alcohol-themed, inappropriate or costume-mask props.
- Attendant-monitored screen so the staff chaperone is not policing the booth.
- Private gallery shared with the school advisor instead of a public link, so the school controls what goes out.
We are happy to provide a certificate of insurance naming the district, which most MA and NH schools require before a vendor sets foot in the building.
Throughput: the number committees get wrong
An open-air booth serves about 80-120 students per hour when groups go in four or five at a time. For a 300-student prom, three hours is enough only if the booth opens when doors open. If the booth opens an hour into the dance, you will have a line at the end and disappointed seniors.
Two fixes that cost nothing: put the booth near the entrance so students hit it on arrival in their outfits, and ask the DJ to announce the last call 20 minutes before the booth closes.
Setup that fits a school gym or function hall
- Footprint: 8 x 8 ft for an open-air booth, 10 x 10 ft for a 360.
- Power: one standard outlet within 25 feet.
- Access: we need a loading door and about 45 minutes before doors open.
- Backdrop: a sequin or matte backdrop reads better in gym lighting than a printed banner.
If the dance is in a hotel ballroom or a function hall rather than the gym, confirm with the venue whether the school or the vendor is listed on the insurance certificate.
The booking timeline
- Homecoming: reserve in August; dates cluster on two or three September/October Saturdays across the region.
- Prom: reserve in January. Late April through early June Saturdays are the single most competitive block of our year, because proms compete with weddings for the same dates.
- Purchase orders: we invoice schools directly and work with district PO terms - tell us early so paperwork does not hold the date.
